The tasks performed by the production control staff may vary based on the business units that are supported. A high-level overview of the functions performed by this group is listed below:

  1. Receive and process external HPI customer feeds:

This includes the monitoring and interaction with any method the customer/SBU used to load work into the system.

Examples: Faxes, FTP, Scanning process and handling, Direct Connect, flat files, table updates, e-mail drops. Production Control staff will receive and load these as needed, and monitor acknowledgments sent back to the customer.

  1. Manage outgoing customer interfaces. This would include:

Outgoing automatic/manual file transmissions

Examples: FTP, MQ, Direct Connect, E-mail with file attachments. P.C. staff will monitor the programs and handle the manual transfer of data as needed.

External customer systems on which the FIN organization performs work

Examples: Images sent to SIR, ODM, DE, CIS Systems. Anything we support that the customer uses.

Regular/repeatable communications such as email notifications of work completed.

Note: Personal/phone exchanges are typically limited to technical issues and involve the customer’s helpdesk or designated technical contact. Regular and repeatable communications may involve e-mail file transmissions. Includes customer notifications and questions as well as manual reconciliation reports.

  1. Run scheduled jobs for environment clean up;

Production Control will be responsible for monitoring the hard drive space on the servers, as well as for running any automated clients or monitoring scheduled jobs designed to free space on the drives. Staff will work with relevant members of IT to maintain the appropriate usage threshold at all times.

  1. Ensure documents are properly processed and have not resulted in errors;

Production Control staff will use the available tools (PI, Item Inspector, Web Reports, CIS, etc) to monitor items in each step. Responsible for correcting errors in the workflow in a timely manner, and for escalating to the development tower when necessary.

  1. Establish daily maintenance tasks for work validation;

This includes, but is not limited to, completing checklists, monitoring web reports, and reconciling acknowledgments both in receipt and outgoing transmissions.

  1. Work closely with HPI to establish new processes that will be initiated via a service request.

  2. Once the service request is approved, the production control teams will work with HPI on items such as new client (software) rollouts or updates, changes to existing procedures (usually requiring interaction between the ITO production control team and the HPI Customer); Specifically:

  • Design: While production control associates will not partake directly in the design process, they will be involved to the point where they are familiar with the new processes (or changes to existing processes) and will be available to offer suggestions or input based on their knowledge of the existing system.

  • Testing: Production Control associates will assist by running production clients in the test system when necessary, and will be available for meetings to discuss results of testing. The P.C. knowledgebase will be available to developers as needed.

  • Implementation: Production control associates will be available during any implementations that affect processes in the workflow. They will be responsible for shutting down required production clients, bringing them up when the implementation is completed, and confirming that there are no issues tied to the implementation. Availability extends to off-hours and weekends.

  • Updates: Production control will assist with the applying of updates as needed. In the event of a required reboot they will be responsible for bringing down production clients, and for re-starting them when the PC is back online. They will confirm with IT that there are no issues after the update.

  1. Gain an understanding and in-depth knowledge of processing times associated with HPI’ external SLAs;

  2. Utilize tools, queries and reference other reports throughout the day to proactively monitor and identify time-sensitive items that are at risk of missing customer SLA requirements. Staff will prioritize items using methods specific to each SBU, and contact appropriate SBU personnel when items must be worked outside of the P.C. sphere of influence.

  3. Monitor HPI business workflows to ensure work is flowing and identify bottlenecks in an effort to resolve prior to impacting the Customer.

  4. Archive of data and files in accordance with timeframes defined in Appendix D — Production Control Analysis, and retrieval of archived files as requested by the Customer.
